Development Associate
International Women’s Health Coalition (IWHC)

Accounts to: Associate Director for Development and Development Manager, Individual Giving
Based in New York, New York

DUTIES & RESPONSIBILITIES:

  • Income Tracking and Donor Management
    • Provide support to the Vice President for Development and Communications and department managers in creating and implementing donor strategies for individual and foundations donors.
    • Develop donor tracking systems, and ensure that staff are regularly updated and informed of donor strategies through information sharing and documentation.
    • Prepare correspondence, including department templates and letters on behalf of the Vice President and other senior staff.
    • Develop protocols and templates for all donor research.
    • Conduct research on individual, corporate and institutional donors and prospects; compile information into detailed profiles, reports and briefing documents.
    • Manage production and distribution of print and email lists for departmental functions, including but not limited to annual fund appeals, annual dinner invitation and RSVP lists, donor cultivation events and donor informational mailings;
    • Assist New York-based development team in executing Leadership Council luncheons, cultivation events, and the New York annual dinner. Provide logistical support in the weeks preceding the events, and onsite. Potential for future events support in other locations TBD.
  • Gift Tracking, and Acknowledgement Process
    • Work with Vice President and Finance department to develop and maintain gift management tracking systems, including by designing spreadsheets and using the Raiser’s Edge database to track donations and renewals, and project future gifts.
    • Draft timely acknowledgements for individuals and foundations on behalf of the relevant Development, Program, or other senior staff members, ensuring up-to-date and compelling content, and a rapid turnaround time for all acknowledgements.
  • Database Management
    • Oversee donor management system and donor data, including institutional and corporate grants and individual gifts.
    • Maintain the integrity of all data flowing into and out of Raiser’s Edge; ensure that coding of all grants and gifts is consistent and accurate.
    • Act as liaison with operations and IT functions, ensuring that database software is up to date.
    • Ensure that information input protocols are followed.
    • Conduct periodic clean-up and other database maintenance tasks, including contact updates.
  • Administrative Support for Vice President and Departmental Development Activities
    • Work with Associate Director for Development to manage the scheduling of department meetings, setting agenda for department meetings, recording action points for department meetings, and ensuring adequate follow-up.
    • Assist the Vice President in tracking departmental expenses. Process department check requests, reimbursements and invoices.
    • Provide administrative support to the Vice President, as needed, including scheduling and travel assistance, and expense/reimbursement filing and tracking.
    • Act as a department liaison in providing administrative support and scheduling organizational activities, such as the strategic planning process, brown bag lunches, and other professional development opportunities.
    • Perform other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree and four years of professional experience required, minimum of two to three years in fundraising and/or special events.
  • Outstanding office and organizational skills, including high proficiency with Microsoft Outlook, Microsoft Office, and internet research.
  • Raiser’s Edge experience required. Experience with gift processing and acknowledgement preferred.
  • Track record of executing large fundraising events.
  • Excellent oral and written communication skills, including ability to communicate directly and effectively with others.
  • Highly organized and attentive to detail, tolerant of some uncertainty; strong numeracy and problem solving skills, works well under pressure and multiple, competing demands.
  • Demonstrated ability to work collaboratively with a diverse staff across an institution; strong team player with recognized leadership capacity, sense of humor, excellent interpersonal skills; the ability to build trust among team members.
  • High level of productivity, initiative, creativity and excellent judgment.
  • Self-motivated and able to function independently.
  • Willingness to work long hours as needed, especially in weeks leading up to major events or activities.
  • Passion for women’s health, reproductive rights, and/or international development a must.

COMPENSATION: Highly competitive salary and excellent benefits, including generous vacation time, and no employee contribution for employee-only medical, dental and vision coverage, among others.
