POSTING: Executive Assistant to the CEO

LOCATION: New York City

REPORTS TO: Executive Office

OVERVIEW

The END Fund is a leading philanthropic investment vehicle with a mission to control or eliminate diseases that affect the world’s poorest people, specifically five of the most prevalent neglected tropical diseases (NTDs): intestinal worms, river blindness, trachoma, schistosomiasis and lymphatic filariasis. In the first five years since the END Fund’s inception (2012-2016), the team mobilized more than $75 million in private investments and supported delivery of over 331 million treatments, training of more than 750,000 health workers, and provision of over 10,000 surgeries for people suffering from these preventable and controllable diseases. In 2017 alone, the END Fund supported partners to provide over 160 million NTD treatments (valued at over $330 million) to more than 90 million people at risk of NTDs in 23 countries. In a short time, the END Fund has thus established a strong track record in private philanthropic giving.

The END Fund accomplishes its mission by:

  • Mobilizing and investing resources to where they can have maximum impact;
  • Advocating for innovative, integrated and cost-effective NTD programs; and
  • Facilitating private sector engagement to end diseases of poverty.

The END Fund’s strategic programming and priorities are in line with the WHO and global NTD community’s common roadmap to control or eliminate the most common NTDs. The END Fund has a special emphasis on Africa and currently supports NTD programs in 10 strategic priority countries in Africa and an additional 12 to 15 countries in Africa, the Middle East, and Asia. The END Fund is actively seeking to expand its community of visionary and engaged philanthropists, foundations, and corporations committed to treating and preventing the spread of NTDs. Ensuring organizational learning and evidence-based decision making is integral to this growth strategy.

THE ROLE

The Executive Assistant will play an integral role in the day-to-day administrative and secretarial support of the Chief Executive Officer, in coordination with the Special Assistant to the CEO. The Executive Assistant will be in charge of handling information requests and performing clerical functions, such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings, conferences, and extensive domestic and international travel for the CEO.  S/he may also assist in non-routine correspondence and assembling highly confidential and sensitive information.

The Executive Assistant will serve as the primary point of contact for a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization.  S/he will also be involved in drafting communication and other administrative documents for the Executive Office.  S/he will greet the CEO’s guests to the New York City office, so should be naturally warm and hospitable.  The successful candidate will be a self-starter with the ability to remain organized in a fast-paced environment, a problem solver who loves piecing together logistics, and most importantly, someone who understands and appreciates the critical role administration plays in the success of any organization and its executive team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage a high volume of internal and external scheduling requests, maintain calendar, coordinate logistics as they pertain to meetings, proactively identify and resolve scheduling conflicts, and invite/confirm attendees in advance of meetings
  • Work closely with the Special Assistant to the CEO to align meeting requests with organizational priorities and goals
  • Schedule and manage travel for CEO, including air, hotel, and other travel needs, as well as creating travel itineraries and briefing packets to prepare CEO for travel
  • Able to serve as a minute-taker in regularly scheduled departmental meetings
  • Add and update information in contact relationship management system (Salesforce)
  • Update and manage monthly expense reports (Concur)
  • Maintain all CEO office files in an organized electronic filing system (Google Drive)
  • Answer and screen calls for the CEO, while answering the main office phone in a backup capacity
  • Help create a welcoming environment and make sure the office is adequately prepared when the CEO is hosting meetings in-office with external stakeholders
  • Perform general administrative and clerical duties
  • Other duties and responsibilities as assigned

QUALIFICATIONS

  • Prior office experience required; international NGO experience a plus
  • Finds joy in being the person who “makes the trains run on time”
  • Exercises independent judgment and time-management to plan, prioritize and organize diversified workload
  • Self-starter who enjoys working in a fast-paced environment
  • Proactive and willing to ask for help when needed
  • Demonstrated cultural sensitivity and ability to represent the END Fund respectfully to diverse audiences
  • Exceptional interpersonal and both written and verbal communication skills
  • Ability to work independently as well as a part of a collaborative team
  • Confidence and poise to interact regularly with executives inside the organization as well as partners, foundations, corporate donors, and high-net worth individuals via email, phone, and in-person encounters
  • Strong organizational skills
  • Detail-oriented
  • Computer savvy with a demonstrated ability to learn new systems quickly
  • Ability to work in the U.S.
